Microsoft Outlook stores the data associated with various Outlook items in a proprietary file format i.e. PST(Personal Storage Table). The Outlook PST files are stored at a local location and can be accessed by the users to view Outlook emails and other data items in an offline mode. As the PST file is stored at local system, it is not associated with Outlook mail size limit. In Outlook 2010, the PST files are stored in Documents\Outlook files folder. However, many organizations prefer to store PST files on cloud, so that the PST files from different users can be accessed from a shared network. The following article is aimed to discuss the scenarios, which makes user think about storing PST files on cloud. Various methods for the migration are also discussed.

1. Backup: As PST files are a store house of Outlook data, it becomes quite necessary to backup such crucial data. So, users can store the copy of PST files on the shared cloud as a backup, which can be used to restore the PST data in future.

2. Shared Data: Storing the PST file on cloud can allow authenticated users of an organization to have an access to the common data. One can easily share the Outlook data contents over the shared pool of network.

3. Data Monitoring: An organization prefers to store the PST files on cloud as the administration can easily monitor employee’s activity on the crucial data. So, all the activities being done on the files can be easily monitored for security reasons.

How to Store PST Files on Cloud

The PST file can be stored on the cloud by using Network Upload technique. It involves moving the PST files over a cloud and then importing the data to mailbox using the import utility of Office 365. The PST files can be moved into the cloud in the following five stages:

Stage 1: The major tasks involved in this stage are: Install the Azure AzCopy tool on the system. Copy the SAS URL of the organization, which provides permission to user to upload the PST files on the cloud.

Stage 2: This stage involves the following tasks: Locating the PST files in file server of an organization. Uploading the PST file at a specified cloud location by using the AzCopy.exe tool.

Stage 3: It is an optional stage, which involves viewing the list of PST files that have been uploaded to Office 365. This functional check can be performed by using Microsoft Azure Storage Explorer tool.

Stage 4: Once the PST files are uploaded to the Office 365, the next stage involves specifying the CSV file for them. It signifies the mailbox to which the PST files belong to.

Stage 5: The stage involves creating the PST Import job in Office 365. The import service reads the mapping file to import the PST files to as specific mailbox. Another approach to store PST files to cloud is Drive Shipping, which involves physically shipping the copy of PST files to Microsoft.

Limitations of Manual Approach

The manual approaches that have been discussed above, pose a difficulty in migrating the PST files. The whole process involves number of steps to be taken for migrating the files to cloud. Any mistake during the processing can lead to loss of PST files. So, the approach requires technical skills to carry out migration in an effective manner.

Alternate Approach

Office 365 Restore is a third party automated software, which provides an easy way to migrate PST file to Office 365. It allows to store complete data of selected account into the storage area; without any data loss. This stored data can be accessed easily by the user at any point of time. So, it can be said that Office 365 Restore can be used as a reliable and efficient solution for storing the PST files on cloud.
