Technical Overview: MS Outlook

Microsoft Outlook the most considered email client used to access Microsoft Exchange Server email, it not only provides Microsoft Outlook access to Exchange server email, but it also includes contact, calendaring and task management functionality. When one uses MS Exchange account, all emails, calendars, and other material is delivered and saved on the server. One can even configure MS Outlook to make and save replica of data on system in OST file. While doing this one is subjected to use Cache Exchange Mode in offline mode. The .ost files are always sync with Exchange computer when a connection is available.

Offline folders are basically the copy of files found in mailbox on system that are having MS Exchange. It becomes easy to take folder from the location present on the server, work with matter of file when not connected to network. The moment one is connected again, update file and its respective server folder to make the matter look alike. It is termed as synchronizing files and folders.

One can even add, delete, and modify content of an offline file. One can send messages included in offline Outbox. Also one can preview matter of the offline public files. In addition to it, all new messages are kept in Inbox present on server, and even other people may add, delete, and modify content in public folders. One is unaware of these changes until you synchronize on the server.

The synchronized information comprises of following:

  • Headers: Header is a descriptive item only on the emails. It provides information like name of sender, subject of the email, time and size of message.
  • Full items: Full item comprises of header, body of message, and attachments, e.g. embedded objects, pictures and many more.

Outlook Offline Files Storage Location

OST files are sync with matter present on the server that has Exchange. The data remains in the Exchange server. One can easily create another .ost file on system without having backup of earlier file.

  • Windows 7 and Windows Vista drive: \user\AppData\Microsoft\Outlook
  • Windows XP drive: \ Documents and settings\User\Local Settings\Application\Data\Microsoft\Outlook

Create OST Files in Different Windows Platform

A) For Microsoft Outlook 2016/ 2013/ 2010

  • Open File tab present on the ribbon >> Click Info
  • Opt for the Account Settings >> Select MS Exchange
  • Double click on MS Exchange >> Hit More settings
  • Select Advance tab >> Choose Outlook Data File Setting // for Outlook 2013
  • In the file box, Give path >> Click ok >> Save files

B) For Microsoft Outlook 2007

  • Open Tools Menu >> Account Settings
  • Open MS Exchange >> double click Exchange
  • Opt for More Settings >> Advance tab settings
  • Click Offline OST files >> Give path to OST file
  • Click on OK button >> Save Offline Storage file

Note: By default, the OST files are saved as OST only. But, if the files exist previously type a new name. Users would even get the message like 'path' xyz.ost not found. Will you like to create it again? Click on OK option for this.

C) For Outlook 2002 and 2003

  • Select the Tools menu and click on E-mail account
  • Opt for view and change the existing Mail account, click Next
  • Process all the emails in Outlook as orderbox >> MS Exchange Server
  • Opt for Exchange Server >> Change button >> More Settings >> Advance tab
  • Click on OST file settings >> in filebox type path as .ost >> click OK and save
